Role Overview: Our client is seeking a proactive Export Coordinator to oversee export operations from their Freetown warehouse. The postholder will coordinate sampling and lab testing, manage shipment bookings, and ensure all export documentation is accurate and complete. They will monitor weights during loading, follow up on container readiness, and keep Fairtrade traceability records up to date. The role requires close collaboration with the Logistics Manager, finance team, storekeepers, freight forwarders and shipping lines to deliver smooth and timely exports.
Key Responsibilities
- Quality Coordination and Sampling
- Coordinate sampling through CU and arrange shipment of samples for laboratory testing via DHL.
- Ensure correct sampling procedures are followed, and results are received on time.
- Send analysis results to CSO Logistics for call-off requests.
- Shipment and Planning Function
- Ensure efficient and timely shipping of stocks.
- Create bookings in shipping line systems.
- Confirm readiness of containers at the terminal and send shipment instructions to shipping lines.
- Load containers using the correct log tag numbers provided by the Freetown storekeeper.
- Monitor weight of each bag during container loading to ensure accurate total container weight.
- Documentation and Management
- Ensure all shipment documentation is properly prepared and filed.
- Send export invoices to freight forwarders for PMB fee payments.
- Issue proforma invoices linked to PTC and LTC and share with CSO Logistics and freight forwarders.
- Submit sample analysis, contract call-off, proforma invoice, and packing list to the Logistics Manager for COI demand.
- Send draft Bill of Lading (BL) to CSO Logistics after receiving it from the shipping line.
- Send final shipment documents (packing list, BL, invoices, etc.) to relevant stakeholders.
- Prepare dispatch forms per container and share signed copies on the authorised WhatsApp group.
- Professional interactions
- Daily collaboration with Logistics Manager, Deputy Finance Manager and accountants.
- Coordinate evacuations and follow up on log tag allocation with Freetown and Kenema
- storekeepers.
- Coordinate with local logistic service providers (forwarding agents and Shipping lines).
- Coordinate container loading with casual workers.
- Coordinate the sampling and interaction with CU agents and with Freetown Storekeeper.
- Coordinate the loading process and with truckers.
- Any other tasks assigned to him that correspond to his abilities.
Qualifications & Experience
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
- Minimum 5 years’ experience in relevant fields.
- Strong knowledge of Sierra Leone port, customs, and ministry procedures.
- Proficiency in Microsoft Office especially Excel.
- Experience in an international group is a plus.
- Experience in commodity export is added advantage.
