Key Purpose:
The Finance and Administration Officer will play a crucial role in ensuring the smooth and efficient operation of the Afriqia HR Solutions office in Sierra Leone. Under the supervision and mentorship of Senior Finance Consultant, this position is responsible for managing the day-to-day financial transactions, maintaining accurate records, providing efficient administrative and project support to the team, and ensuring compliance with company policies and local regulations. The ideal candidate will be a highly organized, tech savvy.
Roles and Responsibilities
Financial Management
- Maintain accurate financial records and reports, including monthly, quarterly and annual financial statements.
- Monitor budgets and forecasts, ensuring financial goals are met.
- Prepare cash flow forecasts and monthly reconciliation for key accounts.
- Manage petty cash, including periodic reconciliations and monthly reporting.
- Enters supplier invoices, process payments, and ensure timely payment to vendors.
- Maintain real-time financial records with all transactions recorded in QuickBooks within 24 hours of occurrence with uploaded supporting documents.
- Oversee inventory of fixed assets and procurement, ensuring adherence to Afriqia’s procurement procedure.
- Prepare monthly payroll and consultant fees for monthly review and approval.
- Monitor and report team members fringe benefits including leave, L&D and medical fund allocations.
- Ensure timely preparation and submission of statutory deductions (PAYE, NASSIT, GST, Withholding Taxes, and corporate income tax) on or before their due dates.
- Stay updated on tax laws and ensure compliance with local regulations.
- Coordinate with the Tax and Accounting Team for timely tax filings and follow up on receipts.
Project Support
- Work closely with the team in preparing the activity-based budgets based on the senior team’s financial projections for HR-related projects and activities.
- Address team’s project fund requests in a timely manner, providing regular status updates and raising any potential bottlenecks and risks to senior team members.
- Ensure all approved funds are reconciled, liquidated, and posted in QuickBooks with attached supporting documents within 72 hours of project completion.
- Monitor and evaluate project expenditure ensuring alignment with the approved budget.
- Coordinate and support logistics of company’s external and internal activities and events including travel arrangements and logistics for the team.
- Assist in preparing financial reports for clients facing projects and internal operations purposes.
- Assist in process enhancement by incorporating best practices and technological advances into the company’s daily operations.
Administration and Office Management
- Oversee the day-to-day operations of the office, ensuring a clean, organized and efficient work environment.
- Assist with HR-related tasks, such as onboarding new team members, maintaining employee records, supporting employee welfare and ensuring employees’ access to relevant information.
- Manage office supplies, equipment, Internet/Telecomm connectivity and vendor relationships, always ensuring the best work conditions and value for the team.
- Monitor and coordinate office maintenance and repairs.
- Supervise, report and keep records on contractors and suppliers’ output.
- Support the procurement process, including sourcing suppliers, obtaining quotes and processing purchase orders.
- Maintain organised and accurate filing system and asset register, both in soft and hard copy.
Qualifications:
- BSc degree in Finance, Accounting, Business Administration or a related field.
- 3+ years of experience in finance and administration.
- Proven experience in basic accounting principles, bookkeeping and records management.
- Proficiency in accounting software (QuickBooks), Microsoft Office and Google Suite.
- Good understanding of Sierra Leone financial regulations and compliance requirements.
- Knowledge and interest in IT and its subdisciplines are an asset.
