Key Purpose
The Finance/Administration Officer at One Girl will provide Finance and Administrative Support to the Finance/Office Administration Manager, other team members, clients and stakeholders to implement program activities effectively and efficiently at all times. The candidate is expected to provide support for the daily financial and administrative operations of the organisation. She/he should serve as a role model for compliance within the organisation, encouraging others to consistently adhere to regulations. She/he should seek the interest of the organisation and always act professionally.
Roles and responsibilities:
Finance
- Ensure the Internal Control System is always functioning according to One Girl policies and procedures, Donor Requirements and Local Laws.
- Post and maintain all cash and bank transactions, ensuring that they are accurate, complete and in compliance with One Girl Policies and procedures on a monthly basis.
- File and maintain all accounting records and other documents, ensuring they are complete, accurate, well archived and safeguarded.
- Process all cash and bank transactions and advances for disbursements in accordance with the approved budget, policies and procedures of One Girl and Local laws.
- Review all liquidated cash advances.
- Ensure timely submission of monthly Program Management Budget.
- Assist in the preparation of an annual budget.
- Ensure regulatory payments (NRA and NASSIT) are prepared appropriately and lodged within the relevant deadline each month.
Administration
- Develop and maintain effective office systems such as IT support, Internet services support, phone credit support, maintenance of office equipment and minor maintenance of the office building.
- Support the efficient running and operation of One Girl Freetown office on a daily basis and ensure that the office is equipped with the needed supplies.
- Ensure all procurement processes are compliant with One Girl policies and procedures, donor regulations and Local Laws.
- Manage the stores for school materials and other office supplies.
- Support with the logistics for program activities and the running of the Office.
- Ensure proper archive and documentation system in Google Drive and manually.
- Ensure maintenance of up-to-date asset register.
- Maintain personnel records.
- Support with recruitment/induction in line with One Girl processes.
- Any other administrative/finance duties as assigned.
Qualifications and Experience:
- BSc degree in Finance/Business Administration or relevant field.
- 3+ years of experience in Finance/Administration.
- Experience in book-keeping and Computerised Accounting/ Financial Systems is required.
- Experience in reporting to donors in an NGO environment is a plus.
- Good understanding of the Local Laws of Sierra Leone related to Tax, Social Security etc is an added advantage.
- Experience in HR Policies and Procedures and Office Administration is required.
- Must be able to set up and manage office systems.
- Proficiency in month-end close processes such as cash management.
- Excellent IT skills, including Microsoft Office (Excel, Word and Outlook) and Google Drive.
