Overview: 

The Embassy of the Republic of Korea in Sierra Leone was recently established in Freetown and is preparing for relocation from its temporary office to its permanent chancery. To support the Embassy’s growing administrative and diplomatic activities, we are seeking a qualified, proactive, and professional Administrative Secretary. The Embassy welcomes applications from Sierra Leonean nationals and individuals holding valid residence and work permits.

 

Key Purpose:

The Embassy of the Republic of Korea in Sierra Leone seeks a motivated and experienced Administrative Secretary to support the Embassy operations in the country. The Administrative Secretary will provide comprehensive administrative, secretarial, research, and coordination support to the diplomatic staff. The position contributes directly to the effective functioning of the Embassy by ensuring smooth office operations, professional documentation, and productive engagement with government counterparts, diplomatic missions, and other external partners.

 

Key Responsibilities

Administrative & Executive Support

  • Serve as the primary contact for visitors and manage telephone calls, inquiries, and incoming/outgoing correspondence.
  • Support Embassy staff with calendar management, scheduling of meetings and appointments, and escorting official visitors.
  • Prepare, draft, and proofread official letters, diplomatic notes, reports, and other documents in English.
  • Record, compile, and circulate accurate meeting minutes; maintain well-organized filing and digital documentation systems.

Research & Reporting

  • Conduct research on political, economic, social, and governance-related developments in Sierra Leone and the West African region.
  • Draft briefs, background notes, and analytical summaries to support Embassy reporting, planning, and decision-making.

 Liaison & Coordination

  • Maintain constructive working relationships with government ministries, public institutions, diplomatic missions, and development partners.
  • Support the organization of Embassy events, representational functions, and outreach activities.
  • Assist with VIP visit coordination, including airport facilitation, transportation arrangements, and event logistics.

Language & Interpretation Support

  • Provide English–Krio translation and interpretation when required.
  • Ensure confidentiality and appropriate handling of sensitive information.

General Office Support

  • Assist with procurement documentation, receipt processing, and administrative record management.
  • Provide cross-sectional support to other Embassy units and perform additional duties as assigned.

 

Qualifications and experience:

  • Bachelor’s degree in Business Administration, Management, International Relations, Public Administration, or a related field.
  • Minimum of 3 years of experience in an administrative or executive assistant role.
  • Prior experience in diplomatic missions, international organizations, or multinational companies is strongly preferred.
  • Strong proficiency in Microsoft Office, Google Workspace, and scheduling tools.
  • Familiarity with Sierra Leone’s institutional landscape and socio-economic context is an advantage.
  • Interest in Korean culture or international cooperation is desirable.
